General Clerk II

Location:  Multiple US Army recruiting locations nationwide

Hours:  30 hours per week from 8:30am to 3:30pm

Responsibilities:

  • Schedule meetings and maintain calendars, conference calls, web based meetings and resolve conflicts when necessary.
  • Appropriate unit or organizational representatives when technology issues arise.
  • Receive visitors, telephone calls and emails, and provide assistance as necessary.
  • Receive incoming mail daily and sort or action as required.
  • Ensure that both the recruiting company and recruiting stations have sufficient postal supplies on hand.
  • Establish and maintain reports and files both paper and electronic in order to maintain current and historical data for future use/reference.
  • Maintain suspense files, conduct follow-ups prior to suspense dates and request interim responses as necessary
  • Have access to the Defense Travel System (DTS) in order to prepare various order types and to review unit member’s requests for travel. GCII shall collect, maintain, and report unit or organizational data as required.
  • Have access to the Medical Protection System (MEDPROS) in order to review and update unit member’s records as needed.
  • Electronically build and enter Bulk Leads into the Leads Management System as needed.
  • Consolidate supply requests from subordinate units and submit requests to the battalion for resupply.
  • Maintain a neat and orderly workplace.

Requirements:

  • Read, write, speak English and have a demonstrated knowledge of Army protocol and office etiquette.
  • Be capable of proficiently operating copiers, facsimile machines, word processors, microcomputer, printer, modems, and/or computer terminal using a standard typewriter style keyboard with additional function keys to produce work accurately and efficiently.
  • Be capable of proficiently using Microsoft Office Suite to include Microsoft Word, PowerPoint, Excel, and SharePoint.
  • Demonstrate knowledge of proper grammar, spelling, capitalization, punctuation, and terminology commonly used in business environments to prepare formal correspondence from handwritten drafts or oral instructions.  Knowledge of or capable of learning standard processing procedures and formats, distribution, and retention policies for correspondence and reports produced in accordance with Army Regulation 25-50.
